What is multi-factor authentication?

An identity check that uses more than one type of evidence, reducing dependence on a password alone.

Two distinct silver and blue keys aligned with a charcoal vault aperture.

How MFA protects business accounts

A password proves knowledge of a secret. MFA adds evidence from a different category, such as possession of a registered device. Entering two passwords does not create two independent factors. Some passwordless methods combine factors within one sign-in experience, so counting screens or prompts is not a reliable test.

Microsoft recommends phishing-resistant methods such as passkeys and security keys where supported. An MFA approval prompt or code can still be targeted by phishing; choosing a stronger method matters as well as enabling the setting. See Microsoft’s authentication overview.

A practical account protection example

Consider a business where staff access Microsoft 365, website administration and the domain registrar. Protecting only the email account leaves other routes into critical systems. Create an account inventory, identify the owner of each service, and record which authentication methods it supports.

Introduce the change to a small group first. Check a normal sign-in, a new device and account recovery before extending the policy to the rest of the organisation. Administrators need an agreed recovery process that does not depend on the same lost phone they are trying to replace.

Checks that prevent avoidable lockouts

  • Register suitable methods before enforcing a new sign-in policy.
  • Give each staff member their own account and remove access when they leave.
  • Protect recovery methods and document who may authorise a reset.
  • Review privileged accounts separately from ordinary daily access.

MFA belongs alongside device updates, sensible permissions and monitoring. It helps verify identity; it does not decide which customer records an authenticated user should see. That separate access decision is essential in a client portal.

Common questions about multi-factor authentication

No. Stolen sessions, weak recovery processes and excessive permissions can still cause problems. MFA is one control within a broader account security plan.

Yes, when migration and recovery are planned. Register the replacement using the platform’s supported process and remove the retired method after confirming access.

  • Authentication — The process of checking an identity, such as verifying a signed-in user, application or service before granting access.
  • Microsoft 365 — Microsoft’s suite of productivity and collaboration services. A business setup needs deliberate licensing, identity protection, permissions, email configuration and support.
  • Portal — A controlled online space where customers, members or suppliers can access relevant information, submit requests or complete tasks.

Protect the accounts that control website content and domain settings as part of maintaining a trustworthy public service.
